AZIMUTH, LLC — PRIVACY POLICY

How Azimuth, LLC collects, uses, discloses, and protects information about you when you use azimuth.claims and our related platform, applications, and services.

1. Introduction

This Privacy Policy describes how Azimuth, LLC ("Azimuth," "we," "us," or "our") collects, uses, discloses, and protects information about you ("you" or "your") when you use azimuth.claims and our related platform, applications, and services (collectively, the "Platform"). Azimuth connects U.S. military veterans with VA-accredited attorneys, claims agents, and Veterans Service Organization (VSO) representatives ("Accredited Representatives") and provides a shared digital case record for managing VA disability claims.

Azimuth is an independent technology platform. We are not the U.S. Department of Veterans Affairs, a law firm, a healthcare provider, or a government agency, and we do not prepare, present, prosecute, or submit claims to VA on our own behalf. We do not provide legal or medical advice.

By using the Platform, you acknowledge the practices described in this Privacy Policy. We may update this Policy from time to time; the "Last Updated" date above reflects the most recent revision. Material changes will be posted on this page, and where required by law we will provide additional notice.

2. Definitions

"Personal Information" means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular individual or household. It does not include lawfully public government records, information you have made publicly available, or de-identified or aggregated information.

"Sensitive Personal Information" is a subset of Personal Information that includes, among other things, Social Security and other government identifiers, health information, and information revealing disability status. Because supporting a VA disability claim inherently involves this category of information, Azimuth’s collection and use of Sensitive Personal Information is central to how the Platform works, as described below.

3. Information We Collect and Where It Comes From

The table below summarizes the categories of information we collect, where it comes from, and why we collect it. We may not collect every category listed with respect to every user.

We also generate aggregated or de-identified data (for example, caseload statistics) that does not identify any individual, which we may use for product improvement, reporting to the Azimuth Foundation, or similar purposes.

4. How We Use Information

We use the information described above to:

  • Create and administer your account and case record
  • Match veterans with Accredited Representatives based on condition type, appeal stage, jurisdiction, capacity, and language
  • Build and organize your case file, including evidence, correspondence, and claim status
  • Facilitate secure communication between veterans and their chosen representative
  • Track deadlines, appeal windows, and claim milestones
  • Verify representative accreditation against the VA Office of General Counsel registry
  • Operate, secure, and improve the Platform, including detecting and preventing fraud, abuse, and security incidents
  • Communicate with you about your case, your account, and the Platform
  • Comply with legal obligations, including recordkeeping tied to power of attorney and fee agreements under 38 U.S.C. § 5904 and 38 C.F.R. § 14.636
  • Calculate and report on the Azimuth Foundation’s annual giving commitment, using aggregated, non-identifying data

We do not use your health or disability information for advertising, and we do not use Sensitive Personal Information to infer characteristics about you beyond what is necessary to support your claim.

5. How Information Is Shared

5.1 With Your Accredited Representative

Your case record is shared with the Accredited Representative(s) you appoint. You control this access: you choose your representative, and you may revoke access at any time. If you are matched through a Veterans Service Organization, relevant information is visible to the service officers handling your case within that organization, consistent with your appointment of that organization as your representative.

5.2 Claimants Who Opt Out

Where the Platform displays aggregated caseload or pilot metrics to organizations, representatives, or partners, this reflects only self-reported information from claimants who choose to share it. Claimants who opt out are not exposed in those views.

5.3 Service Providers

We share information with vendors who perform services on our behalf, such as cloud hosting, identity verification, analytics, and customer communications, under contracts that restrict their use of the information to providing services to us.

5.4 Legal and Safety Reasons

We may disclose information as necessary to: comply with law, regulation, or legal process; respond to requests from courts or government authorities; enforce our terms; protect the rights, property, or safety of Azimuth, our users, or others; or in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy or a successor policy.

5.5 No Sale of Personal Information

We do not sell Personal Information, and we do not share Personal Information for cross-context behavioral advertising, as those terms are defined under the CCPA.

6. Cookies and Similar Technologies

We and our service providers use cookies, pixels, and similar technologies on the Platform for purposes such as keeping you logged in, remembering preferences, measuring usage, and understanding how the Platform performs. We use analytics tools that may collect information such as IP address, browser type, pages viewed, and session duration. You can control cookies through your browser settings, though disabling certain cookies may affect Platform functionality.

7. Data Security

We maintain technical, administrative, and physical safeguards designed to protect information on the Platform, including encryption of data in transit and at rest, encrypted document storage, and logging of access to case records. Our architecture is designed against NIST 800-53 and HIPAA security control requirements, and a SOC 2 Type II audit is underway. No security program is perfect, and we cannot guarantee absolute security.

8. Data Retention

We retain Personal Information for as long as reasonably necessary to support your claim and representation, maintain the case record required by power-of-attorney and fee-agreement recordkeeping obligations, comply with applicable law, resolve disputes, and enforce our agreements. Retention periods vary by category of information and applicable legal requirements; we may retain de-identified or aggregated data indefinitely.

9. Your Choices and Controls

  • Representative access: You choose your Accredited Representative and may revoke their access to your case record at any time.
  • Account information: You may review and update your account information through the Platform or by contacting us.
  • Marketing communications: You may opt out of marketing emails using the unsubscribe link or by contacting us; we may still send transactional and case-related communications.
  • Cookies: You may adjust your browser settings to limit or block cookies.

10. Children’s Privacy

The Platform is intended for use by veterans and Accredited Representatives and is not directed to children under 13. We do not knowingly collect Personal Information from children under 13. If we learn that we have done so, we will take steps to delete it.

11. Your Privacy Rights

11.1 State Privacy Rights (California and Other States)

Depending on your state of residence (including California, Colorado, Connecticut, Virginia, and others), you may have the following rights regarding your Personal Information:

  • Access & Portability: Request access to the categories and specific pieces of Personal Information we have collected about you.
  • Correction & Deletion: Request correction of inaccurate information or deletion of your Personal Information, subject to legal exceptions (such as maintaining active claim records).
  • Sensitive Personal Information: Limit our use of Sensitive Personal Information (such as Social Security numbers and health data). We only use this information to operate the Platform and support your claim, so no additional opt-out is required.
  • Non-Discrimination: You will not be retaliated against for exercising any privacy rights.

We do not sell your Personal Information or share it for cross-context behavioral advertising. To exercise your rights, contact us using the information in Section 14.

11.2 Nevada Residents

Nevada law permits residents to opt out of the sale of covered information. Azimuth does not sell covered information, so no opt-out is necessary.

12. Veterans Affairs Accreditation and Confidentiality

Accredited Representatives who access your case record are independently accredited by VA’s Office of General Counsel under 38 C.F.R. § 14.629 and are separately bound by professional and regulatory confidentiality obligations applicable to their accreditation and, where applicable, their license. Azimuth’s role is to provide the technology platform and case record; Azimuth does not itself represent veterans before VA.

13. International Users

The Platform is intended for use by U.S. military veterans and representatives operating within the United States. We do not currently design the Platform for use outside the United States.

Azimuth is free for veterans. Azimuth charges veterans no fee at any stage and receives no portion of any representative fee. Representative fees, where permitted at all, are governed by 38 U.S.C. § 5904 and 38 CFR § 14.636: VSO representatives may not charge a fee; accredited attorneys and claims agents may not charge for an initial claim.
